Who we are

The Beauty Aesthetics Academy is the training arm of The Beauty Aesthetics Group. The data controller is Beauty Aesthetics Academy UK Limited (company information is on the company information page). You can contact us about your data at academy@thebeautyaestheticsgroup.co.uk or by post to the Academy at 13 Market Road, Chichester, PO19 1JW.

What we collect

When you send an enquiry we collect your name, email address, phone number if you give it, and what you write to us, including any information about your qualifications, experience or, for model enquiries, your health. We only ask for health information where it is needed to assess suitability for a treatment.

Why we use it

We use enquiry information to reply to you, to assess whether a course or model opportunity is suitable, and to arrange bookings. Our lawful basis is that you have asked us to respond (steps prior to entering a contract) and, for health information, your explicit consent, which you can withdraw at any time.

Who we share it with

Enquiries are received by the Academy team. We use email and, where configured, a form-delivery service to receive messages. We do not sell personal information or share it with third parties for their own marketing.

Online courses and your student account

If you study online we hold your name and email address, the courses you have bought, your lesson progress, your assessment attempts and any certificate issued, so we can give you access, record your learning and let others verify your certificate. Payments are taken by Stripe; we receive confirmation of payment, not your card details. Our lawful basis is the contract with you.

To protect accounts and courses from sharing and copying, we also keep a short record of access to course pages: the date and time, the type of device and browser, and a scrambled (hashed) form of your network address rather than the address itself. Our lawful basis is our legitimate interest in keeping accounts secure and courses licensed to the person who bought them. We keep this record for 90 days.

Student accounts and learning records are stored with Supabase in London. Payments are processed by Stripe, and the website is hosted by Netlify.

Academy emails

If you join our emails, we collect your first name and email address and add you to our mailing list with the “The Beauty Aesthetics Academy” preference, so we can send you course dates, offers and Academy news. Joining is your consent to receive them. If you also tick the optional box, you'll hear about news and offers from our clinics too; if you don't, you won't. If you already receive emails from The Beauty Aesthetics Group clinics, joining simply adds the Academy to your existing preferences. The mailing list is shared with The Beauty Aesthetics Group and managed with Mailchimp (Intuit), which stores your name, email address, preferences and the date and IP address of your sign-up on our behalf. Every email has links to update your preferences or unsubscribe, and you can ask us to remove you at any time.

If you send us an enquiry and leave the email box ticked, we add your first name and email address in the same way, for Academy emails only (not clinic news). The same applies when you book or buy a course and leave the box ticked at checkout, once your payment has gone through. You can untick the box when you send your enquiry or check out, and every email has an unsubscribe link. If you have unsubscribed before, sending an enquiry does not sign you up again. We never use anything you write in an enquiry to decide which emails to send you.

Wholesale accounts and qualification documents

If you apply for a wholesale account, we collect your name, email address, phone number, business or clinic name and address, trading address, website or professional profile, profession, years in practice, the product categories you need, and details of your qualifications (the category, where you trained, the course or qualification name and the date you completed it), with copies of the certificates you choose to upload. If you trained with the Academy, we may confirm your qualification from our own course records instead of asking for a copy.

We collect qualification documents solely to verify that you are professionally eligible for wholesale access to each product category. They are stored privately, are never publicly visible and cannot be reached by a web address. Only the Academy's authorised wholesale reviewers can open them, through links that expire after a minute. We do not send them by email. Your wholesale orders are kept with your account for tax and product-traceability purposes.

We keep two things separately. The verification record (what we checked, our decision, when, and who made it) is kept while your wholesale account is active and for a limited period afterwards under our retention policy. The certificate file you upload is kept only as long as we need it to verify your qualification and deal with any immediate question about our review, and is then deleted. If your application is declined, we keep the file only for a short period in case you ask us to look at it again, then delete it unless we have a documented reason to keep it. We will state the exact periods here once they are confirmed.

How long we keep it

Enquiries that do not lead to a booking are kept for up to twelve months. Student and model records are kept for as long as required for insurance and regulatory purposes. Online learning records and certificates are kept so that certificates can continue to be verified; payment records are kept for six years for tax purposes.

Your rights

You can ask for a copy of the information we hold about you, ask us to correct or delete it, or object to how we use it. Contact us at the address above. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
